Service Terms & Conditions

Terms of Service

Welcome to The Computer Care Company. We provide computer repair, maintenance, upgrades, software support, and related IT services with a commitment to clear communication, honest recommendations, and customer choice.

Our guiding principle is simple: we diagnose before we recommend, repair before we replace, and explain before we proceed.

These Service Terms explain the conditions under which we provide our services. Please read them before confirming a booking or authorising repair work.

1. Scope of Services

Depending on availability, location, and the requirements of your device, our services may include:

  • Laptop and desktop diagnosis, repair, and maintenance.
  • Hardware upgrades, component replacement, and custom PC building.
  • Operating system installation, software troubleshooting, and application setup.
  • Virus and malware removal and security assistance.
  • Data backup, transfer, and recovery assessment.
  • Printer installation and repair.
  • Network setup, Wi-Fi configuration, and connectivity troubleshooting.
  • CCTV installation and related support.
  • Corporate IT support and Annual Maintenance Contracts.
  • Laptop, printer, and related equipment sales.

The precise scope of work will depend on your request, our assessment, parts availability, and any estimate or service agreement accepted by you.

2. Service Bookings and Availability

Bookings and service enquiries may be made through the contact methods or booking options provided on our website.

A booking request is not necessarily a confirmed appointment. We may contact you to confirm the service requirement, location, appointment time, and any applicable charges.

On-site service availability depends on the locality, technician availability, nature of the issue, and other operational factors. Please confirm your appointment before relying on a particular service time.

Our Korattur branch is our main branch. Any additional branch listed as upcoming is not available for customer visits until its opening is confirmed.

3. Free Initial Diagnosis

We offer a free initial diagnosis for eligible computer and equipment problems.

The initial diagnosis is intended to help identify the likely cause of the reported issue and explain possible solutions. Some faults may require further testing, specialist assessment, component testing, or additional diagnostic work.

We will explain any chargeable diagnostic work before proceeding with it. A free initial diagnosis does not automatically mean that every repair, part, software licence, data recovery procedure, visit, or other service is free of charge.

4. Estimates, Recommendations, and Approval

After assessing your device, we aim to explain:

  • The reported problem and our findings.
  • The recommended repair or available alternatives.
  • The estimated service charges and parts costs.
  • The expected turnaround time, where it can reasonably be estimated.
  • Any material risks, limitations, or data-loss concerns.

We will seek your approval before beginning chargeable repair work. If additional work or costs become necessary, we will explain the change and seek your approval before proceeding with that additional work.

If you decline a proposed repair, we will explain any applicable charges for work already authorised or completed, if any, before those charges are incurred wherever reasonably practicable.

5. Parts and Replacements

We aim to recommend component replacement only when it is reasonably necessary or offers a more suitable solution.

Where applicable, we will explain the available options, which may include new, original-equipment-manufacturer (OEM), compatible, or refurbished components.

Parts are subject to availability, compatibility, supplier conditions, and the requirements of your device. We will communicate any material change in the proposed part, price, or scope of work before proceeding.

Any supplier or manufacturer warranty applicable to a supplied component will be explained where relevant. A supplier warranty does not replace our own service warranty, and the applicable terms will determine the scope of each.

6. Repair Time and Delays

We provide estimated turnaround times where possible. These are estimates rather than guaranteed completion deadlines unless a specific commitment has been expressly agreed in writing.

Completion may depend on:

  • The complexity of the fault.
  • The condition and age of the device.
  • Parts or component availability.
  • Additional testing or diagnosis.
  • Data recovery requirements.
  • Your approvals or the information needed from you.
  • Circumstances outside our reasonable control.

We aim to keep you informed of material delays and changes in repair status.

7. Customer Responsibilities

To help us provide reliable service, please:

  • Provide accurate information about the device, reported symptoms, previous repairs, and relevant damage.
  • Confirm that you own the device or are authorised to request the service.
  • Remove personal accessories or items that are not required for the repair, where practical.
  • Maintain a backup of important files before handing over the device.
  • Provide necessary access or credentials only when genuinely required for the approved service.
  • Review estimates and provide timely approval where further work is required.
  • Collect your device or equipment as agreed and settle applicable charges.

Please inform us of any known security restrictions, encryption, liquid damage, unusual behaviour, or other conditions that may affect diagnosis or repair.

8. Data Protection and Data Loss

We handle customer equipment responsibly and access data only to the extent reasonably necessary for the requested work.

Customers are strongly encouraged to back up important files before service. Although we take reasonable care, hardware failure, damaged storage media, malware, software operations, or other technical conditions may result in data loss or make data recovery impossible.

We do not guarantee that every file can be recovered or that all data will remain intact during every repair.

We will seek your approval before formatting a device or carrying out work that is reasonably expected to erase data. Please inform us in advance if preserving existing data is a priority.

Our handling of personal information is also governed by our Privacy Policy.

9. Remote Access and Software

Where an issue can reasonably be addressed through remote support, we may offer a remote session depending on the nature of the problem and service availability.

Before initiating remote access, we will explain its purpose and seek your permission. You should close sensitive applications, avoid sharing unnecessary confidential information, and revoke temporary access or change relevant passwords after the service where appropriate.

Remote support may not be suitable for every issue. Some problems require physical inspection, hardware testing, or an on-site visit.

Software installation, activation, and licensing are subject to the applicable software provider's terms. Customers must have the necessary rights or licences for software they ask us to install or configure.

We do not undertake to bypass lawful licensing or security restrictions.

10. Payments and Additional Charges

Depending on the service, an advance payment or deposit may be required before work begins, before parts are ordered, or before a booking is confirmed.

Where an advance payment or deposit applies, we will communicate the amount, purpose, and applicable payment conditions before requesting your agreement. Any balance payable, payment deadline, and accepted payment methods will be explained in the quotation, invoice, or other relevant service communication.

Applicable charges may include labour, components, software licences, delivery, installation, or other agreed services. Taxes, where applicable, will be reflected in the relevant quotation or invoice.

Additional chargeable work will be explained and approved before proceeding. If the scope or cost changes, we will seek your approval for the additional work before undertaking it.

Refunds, cancellations, and adjustments to advance payments will be handled in accordance with the terms communicated and agreed before payment, the work or commitments already undertaken, and applicable law.

We will provide an invoice or payment record as applicable to the transaction.

11. Cancellations and Changes

If you need to cancel or reschedule an appointment, please inform us as early as reasonably possible.

If you cancel after approving special-order parts, paid work, or other commitments, charges may apply only where they were appropriately disclosed and agreed upon, or are otherwise lawfully payable.

If we need to reschedule a service, we will inform you and work with you to arrange another suitable time.

Any refund or cancellation request will be reviewed in accordance with the agreed booking terms, work already completed, parts ordered, and applicable law.

12. Collection and Return of Equipment

Please retain your service receipt, job reference, or invoice to help us identify your device and verify the service provided.

At collection or return, we encourage you to check the device and confirm that the reported issue has been addressed, subject to any limitations explained during the service.

If you notice a concern relating to the completed work, please contact us promptly so that we can review it.

Any collection deadlines, storage arrangements, or procedures for uncollected equipment will be communicated to you where applicable. We will handle uncollected equipment in accordance with agreed terms and applicable law. We do not claim ownership of a customer's device merely because it has not been collected.

13. 60-Day Service Warranty

The Computer Care Company offers a 60-Day Service Warranty on eligible repairs and services performed, subject to the applicable terms and the coverage recorded on your invoice or service bill.

Your invoice or service bill is the primary reference for the service performed, the applicable warranty coverage, and any stated conditions or exclusions. Please retain it when requesting warranty assistance.

  • If a concern arises after service, contact us with your invoice or job reference so we can review the details.
  • We may inspect the device to determine whether the reported issue relates to the original work performed.
  • Where a concern is covered, we will explain the appropriate corrective action under the applicable warranty terms.
  • A new or unrelated fault, physical or liquid damage occurring after service, misuse, unauthorised modifications, or other external causes may not be covered where excluded by the applicable terms.
  • Components supplied or installed may carry separate manufacturer or supplier warranties, with their own conditions.

The 60-day service warranty should not be interpreted as a guarantee that every component, unrelated fault, or future device failure is covered. Coverage depends on the service performed and the applicable warranty terms.

Nothing in this section removes any consumer rights or remedies that cannot lawfully be excluded or restricted.

14. Repair Versus Replacement

We believe a device should not be replaced simply because it has developed a fault.

Where reasonably possible, we will explain the repair options and help you compare repair cost, device age, parts availability, expected remaining life, performance needs, and upgrade possibilities.

The final decision remains yours. We may advise against a repair if it is technically impractical, unsafe, uneconomical, or unlikely to provide a reliable result.

15. Limitations and Unforeseen Conditions

Some faults cannot be fully identified until testing or disassembly has begun. Older devices, previously repaired equipment, liquid-damaged components, intermittent faults, and failing storage devices may present additional complications.

We will communicate significant newly identified issues and obtain approval for additional chargeable work before proceeding.

We will exercise reasonable care and skill in providing our services. Nothing in these terms excludes or limits liability where such exclusion or limitation is prohibited by applicable law, or affects rights that cannot lawfully be waived.

16. Grievances and Customer Support

We aim to address customer concerns fairly, respectfully, and without unnecessary inconvenience.

If you have a concern:

  1. Contact us by email, phone, WhatsApp, or through the relevant branch.
  2. Provide your job reference, invoice details, and a brief description of the issue.
  3. Explain the outcome you are seeking, where possible.
  4. We will review the relevant service records and communicate the available resolution or next steps.

If your concern is not resolved initially, you may request escalation to the person responsible for customer service or management.

A grievance does not automatically extend or change the 60-day service warranty. Warranty requests will be assessed under the applicable warranty terms, without affecting any rights available under law.

17. Privacy and Applicable Law

Our Privacy Policy explains how we handle personal information and customer data.

These terms are intended to operate in accordance with applicable laws in India. Nothing in these terms is intended to remove any mandatory consumer protection or other legal rights.

Any dispute will be addressed through appropriate discussion and resolution efforts where possible, without preventing either party from exercising rights available under applicable law.

18. Updates to These Terms

We may revise these Service Terms when our services, operating practices, or legal requirements change. The latest version will be published on this page with its updated date.

The terms applicable to a particular service may also be supplemented by a written quotation, invoice, warranty document, corporate agreement, or other service-specific agreement accepted by the customer. If a specific written agreement addresses a matter differently, the applicable agreement and law will determine the outcome.
